Information We Collect
We may collect and store the following categories of information:
- Identifiers & contact details — name, email, phone number (if you provide them).
- Interview content — your audio recording and the transcript generated from it, plus any preferences or notes you provide.
- Technical & usage data — device/browser type, IP address, pages or screens viewed, session duration, and diagnostic logs.
- Support communications — messages you send to our help channels (e.g., email or text) and our replies.
How We Use Information
By using the VLI, you consent to our collection and use of your information to:
- Operate, maintain, and improve the VLI and related services.
- Support funeral planning and the delivery of your recording/transcript.
- Store, review, and deliver your recording/transcript in one or more of the following ways:
- Transfer to your Everplans Vault (if applicable).
- Secure delivery to you, your designated representatives, or your family.
- Sharing with your funeral home to assist with prearrangement or playback for surviving family members.
- Quality control, debugging, and internal training — accessed only by authorized personnel.
- Security and abuse prevention — to protect the service, our users, and our partners.
- Legal compliance — to respond to lawful requests and meet applicable obligations.
- De-identified analytics — we may use de-identified or aggregated data to improve our tools.
Access & Sharing
Access to recordings and transcripts is limited to trained, authorized personnel on a need-to-know basis. We may share your information with:
- Your funeral home — to assist with service planning or playback.
- Everplans (a wholly owned subsidiary of Precoa) — to populate your Everplans Vault, if applicable.
- Trusted service providers under confidentiality obligations — for example, hosting, storage, transcription, speech processing, or customer support tools (which may include vendors such as Webflow, 11Labs, and OpenAI).
- Government authorities — if required by law, regulation, or legal process.
We may review recordings to help ensure accuracy and delivery quality, but we do not actively moderate every session in real time.
Security & Important Limitations
The VLI is not a HIPAA- or SOC 2-compliant service. We use commercially reasonable safeguards, but no system can be guaranteed secure.

Your Choices & Rights
- Deletion — You may request deletion of your VLI data — including audio and transcript — by contacting help@leaveavoice.com. If your recording has already been delivered to your funeral home or shared with family/representatives, we cannot delete copies held by those recipients.
- Access/Copy — You may request a copy of your VLI recording/transcript.
- Everplans Sharing — If your recording is in your Everplans Vault, you control sharing settings within Everplans.
Data Retention
We retain personal information only as long as reasonably necessary to provide the VLI, fulfill the purposes described above, comply with legal obligations, resolve disputes, and enforce our agreements. Limited copies may persist for a brief period in backups before being purged.
Children's Privacy
The VLI is intended for adults and not for children under 13. We do not knowingly collect personal information from children under 13.
Updates to This Policy
We may update this Privacy Policy from time to time. Material changes will be posted on our website or sent by email if you have provided contact information. Your continued use of the VLI after an update signifies acceptance of the revised Policy.
Governing Law & Contact
This Policy is governed by the laws of the State of Oregon, without regard to conflict-of-law principles. Any disputes shall be resolved exclusively in the state or federal courts located in Multnomah County, Oregon.
